  1理解人們是如何解讀郵件的

  人們經(jīng)常會(huì)誤解郵件中所表達(dá)的情緒。但是,是什么造成了這些誤讀呢?一個(gè)原因是,人們總是傾向于從自己的情緒出發(fā)點(diǎn)解讀郵件信息,而忽略了發(fā)送者的實(shí)際意圖。試想一下這封郵件:“這個(gè)一份很好的草圖,但是我認(rèn)為我們還可以繼續(xù)優(yōu)化它! 如果這封郵件來(lái)自同事,這看起來(lái)他非常愿意合作。而如果它來(lái)自于上級(jí),看起來(lái)就很像是批評(píng)。

  除了相對(duì)地位以外 (高職位的人發(fā)送的郵件通常更容易被人們負(fù)面地解讀),還有一些語(yǔ)境因素也需要考慮:認(rèn)識(shí)時(shí)間的長(zhǎng)短 (我們熟悉的人發(fā)來(lái)的郵件更容易被積極地解讀),過(guò)往相處的歷史,和個(gè)體的性格特性 (負(fù)面的人更傾向于負(fù)面地解讀信息)。

  要避免誤解,首先我們要站在接收者的立場(chǎng)上,揣測(cè)他們可能是怎么解讀你的信息。這樣做可以幫助你在誤會(huì)發(fā)生前避免它。

  2行為模仿

  通過(guò)郵件傳達(dá)情緒的最佳方式是什么呢?表情符號(hào)?詞匯選擇?感嘆號(hào)?正確答案不止一個(gè)。合適的表達(dá)將是基于上下文語(yǔ)境的。例如,你可能不會(huì)發(fā)送一個(gè)笑臉?lè)?hào)給一個(gè)有著正式商務(wù)溝通文化的客戶(hù)公司。同樣的,你也不會(huì)給關(guān)系親密的同事發(fā)送過(guò)于正式的郵件。

  行為模仿是一種在各種情景下都很有效的策略。也就是說(shuō),選擇相似的表情符號(hào),措辭,以及俚語(yǔ)/行話跟你的溝通對(duì)象進(jìn)行交流。研究發(fā)現(xiàn),在基于文本交流的溝通的早期階段,使用模仿行為,美國(guó),荷蘭和泰國(guó)談判者提升了30%的效果。模仿的過(guò)程增進(jìn)了信任,因?yàn)槿藗儍A向于和相似的人產(chǎn)生共鳴。

  3直接表達(dá)你的情緒

  雖然模仿行為是有效的,它仍然是一種微妙的策略,可能引起潛在的情緒上的模棱兩可。避免困惑的最簡(jiǎn)單方案就是,在郵件清楚地表達(dá)你想要傳達(dá)的情緒。

  我作為一個(gè)局外人 (我也是猜測(cè)經(jīng)理的意圖),這封郵件看起來(lái)是措辭小心,以避免冒犯雇員。但是,這位員工有不同的感受,他解釋到:“她其實(shí)知道那個(gè)糟糕的商業(yè)需求介紹是我寫(xiě)的,但她卻說(shuō)她很確定是客戶(hù)做的簡(jiǎn)介,我可以做好的, 然后在結(jié)尾加上一個(gè)小笑臉?lè)?hào)。所以整體上看起來(lái)還是是居高臨下的調(diào)侃的語(yǔ)氣!

  如果這位經(jīng)理避免這樣委婉的說(shuō)法,直截了當(dāng)?shù)谋磉_(dá)她的意思,也許誤解的可能性會(huì)降低。例如,如果她這樣說(shuō):

  “我很滿(mǎn)意你目前的工作。但是我認(rèn)為這個(gè)商業(yè)需求介紹還可以改進(jìn)。你介意重新做一下嗎?”

  這會(huì)大大減少員工凌磨兩可的感受,從而避免員工從自己的情緒揣測(cè)信件。

  但是,就算直接表明情緒的效果非常好,人們很少會(huì)愿意這么做。紐約大學(xué)(NYU)的研究表明,很多人過(guò)度自信于他們?cè)卩]件中準(zhǔn)確表達(dá)情緒的能力。舉個(gè)例子來(lái)說(shuō),說(shuō)一個(gè)從不請(qǐng)假的同事早退,你可能覺(jué)得看起來(lái)很明顯,打趣的意味遠(yuǎn)遠(yuǎn)大于正兒八經(jīng)地追究。但是那位同事可能會(huì)特別在意被看成懶惰,會(huì)感到受傷或者被冒犯。

  4策略性地使用打字錯(cuò)誤

  盡管明確表達(dá)感情可以讓你想表達(dá)的情感展示地更為清楚,但這并不意味著人們會(huì)相信你所表達(dá)的情緒。出于策略需要,人們經(jīng)常會(huì)有意的展示并非他們真實(shí)體驗(yàn)的情緒。例如:談判者會(huì)假裝生氣以獲得讓步,銷(xiāo)售人員會(huì)假裝激動(dòng)以獲得銷(xiāo)售額(你真的相信銷(xiāo)售員在郵件中所說(shuō)的,他見(jiàn)到你激動(dòng)到顫抖?)這種策略在上面媒體公司經(jīng)理的信件中的效果非常不理想。

  既然在郵件中,偽裝非常容易,你可以一直編輯情緒表達(dá),直到“完美”狀態(tài)。那么你怎樣才能讓你表達(dá)的情緒看起來(lái)更真實(shí)一些呢?

  答案是做一些讓你的信息看起來(lái)不是經(jīng)過(guò)“精心雕琢”的事情。和大多數(shù)商務(wù)建議相反,在真實(shí)性非常重要的情況下,郵件中可以出現(xiàn)少許打字錯(cuò)誤。打字錯(cuò)誤讓人覺(jué)得真實(shí)可信是因?yàn)樗屇憧雌饋?lái)不那么刻意。如果人們?cè)噲D給我留下好影響,怎么會(huì)有打字錯(cuò)誤呢?

  尤其是當(dāng)你級(jí)別很高時(shí),偶爾一些小錯(cuò)誤能使你看起來(lái)更加平易近人。表達(dá)真實(shí)還是能力你需要慎重地考慮。在一定的情形下:更真實(shí)的情感(使用一些打字錯(cuò)誤),能力(完全沒(méi)有失誤),哪個(gè)更重要呢?

  5透露個(gè)人信息

  郵件的好處之一是,它更能產(chǎn)生直接有效的工作交流,避免了面對(duì)面溝通中可能會(huì)有的閑聊。實(shí)際上,在閑聊中透露一些個(gè)人信息,可以迅速建立熟悉度和信任感,有益于潤(rùn)滑社交互動(dòng)。對(duì)郵件協(xié)商的研究顯示,正時(shí)協(xié)商前人們之間簡(jiǎn)短的相互介紹,可以顯著地改善談判成果。如果你們的互動(dòng)是長(zhǎng)期的,全面的展示自己可以降低誤解,增加所展現(xiàn)情緒的可信度。
